AVITA – Audiovisual Industry Association (later Avita) implements appropriate data protection and complies with the Personal Data Act, other relevant legislation and good data protection practices. This Register and Privacy Policy explains how we collect and process personal data. Personal data is any record that can be linked to an identifiable individual.

By providing your personal information to Avita, you agree to the practices described in this Privacy Statement.

Name and purpose of the register

The name of the register is AVITA – Audiovisual Industry Association’s customer registers.

The processing of personal data is primarily based on the use of Avita’s services or the user’s consent. Processing is limited to what is necessary in relation to the purposes of the processing, such as the management of the membership relationship and the provision of member services.

The register processes personal data of members and former members of the association, contact persons of organisations related to the association’s activities, participants in training courses, events or occasions organised by us and subscribers to our newsletter.

Your personal data may be collected for example when your employer becomes a member of the association, when you become a member of the association, when you participate in our trainings, events or occasions, when you register for our newsletter, when you visit our website or when you otherwise interact with us.

Data to be stored in registers

Avita collects and processes in its register the necessary information related to Avita membership or use of Avita services. Among other things, Avita collects the personal data listed below.

1. The information you provide to Avita

– Contact information, such as name, addresses, phone numbers, email addresses
– Name and business name of the organisation, title, title or profession
– Customer relationship information, such as membership, subscription or attendance information for training or other events, customer feedback and contacts, customer survey responses
– Permissions and consents, if any
– Any anti-solicitation information; and
– Any other information collected with your consent (e.g. open responses, special dietary requirements)

– Data collected by analytics systems on the web services
– Website from which you have been redirected to the Avita website
– Device identifiers, such as terminal model and unique device and/or cookie identifier
– Data collection channel: internet browser, mobile browser, application and browser version
– IP address, operating system, session ID, session time and duration

Regular sources of information

The primary source of personal data is the data subject himself/herself, for example when joining the association, registering and participating in a training or event organised by us, subscribing to our newsletter or using our other services. Other trusted parties and existing registers may also be used with the consent of the data subject.

Purpose of processing personal data

The processing of personal data is based on the Association’s legal obligation to maintain a register of members, a legitimate interest related to the Association’s activities, the performance of a contract and the consent of the data subject.

The purpose of the register is the up-to-date management of personal data during membership, the provision and marketing of membership benefits, and the maintenance and development of the association’s activities and membership benefits.

Your personal data may be used to produce surveys, studies and research related to Avita’s content, services and industry to the extent necessary for the development of services. In order to improve our services, we may compile statistics and combine information collected in connection with different services.

With your consent, your personal data may be used for marketing and customer communications about Avita’s services, for example, to send you notifications about our services and to contact you about customer service or our services. Our newsletters may also include offers from Avita’s approved partners.

Disclosure of personal data

Avita will not, in principle, disclose your personal data outside Avita. Your personal data may be disclosed with your explicit consent, for example in connection with a service provided by a third party.

Avita may use subcontractors and service providers for the technical maintenance of its services, customer service, the management and analysis of user data, surveys, customer communications or various campaigns.

Avita obliges them to maintain the confidentiality of your information and to maintain an adequate level of security to protect your personal information.

Avita provides services and processes your personal data primarily through operators and services located in the EU or EEA. If data is transferred outside the EU, Avita will ensure an adequate level of protection of your personal data, including by agreeing on confidentiality and processing issues as required by law. Personal data will be processed in accordance with this Privacy Statement.

Storage and protection of personal data

We pay attention to data protection and security in the design, implementation and maintenance of our services. We use appropriate physical, technical and managerial safeguards to store and protect your personal data. Access to systems containing customer data is restricted to employees whose job requires them to process customer data.

Manual records are stored in the locked premises of the controller. Personal data processed electronically are protected and stored on systems, network stations or secure servers of service providers, with access restricted to the controller’s employees and the service provider concerned (processor).

Timeliness and retention period of personal data

We make reasonable efforts to keep the personal information we hold accurate by deleting unnecessary information and updating outdated information. Please note that it is your responsibility to update the personal information you provide to us if there are any changes. We will retain your data in accordance with applicable law and only for as long as necessary to fulfil the purposes set out in this privacy statement. Once the ground for processing your personal data has expired, we will delete your personal data.

Rights of the data subject

You have the right by law to inspect what information we have collected about you. You also have the right to request the correction or deletion of personal data that is inaccurate, incomplete, unnecessary or out of date. You can make a request to review or delete your customer information by sending an email to info[at]avita.org. Please note that we may ask you to specify your request in writing or to verify your identity before processing your request. You may also object to Avita using information about you for direct marketing, customer satisfaction and other surveys. However, we may continue to send you notifications about our services, such as information about changes in membership or training.

Changes to this privacy notice and data protection statement

Avita may make changes to this Privacy Notice and Privacy Statement from time to time without prior notice. Changes may also be related to changes in legislation.
